
Executive Administrative Assistant
JOB RESPONSIBILITIES
- Positively and professionally represent the Company with centers of influence, clients, prospects, executive bank managers, senior bank managers, board members, and CTIC employees
- Meetings (Board of Directors, Trust Executive Committee, Account Acceptance Committee, and Corporate Trust Administrative Committee)
o schedule monthly TEC and quarterly CTAC meetings; finalize with the President and CEO
o draft committee and board agendas; finalize with the President and CEO
o prepare monthly and quarterly meeting documents for distribution
o attend in person and record/prepare committee minutes for TEC, ACC, CTAC, as well as the CTIC Board of Directors meeting
o order committee lunches, make reservations, etc. when needed
- Human Resources
o maintain personnel files on employees in the Lexington office
o maintain vacation schedules for Trust Executive Committee members
o open mail for the President and CEO
o when applicable, administer and review with President & CEO
- Finance
o assist in development of annual Management budget
o monitor invoices to be paid
o monitor actual expenses for Management cost center
o analyze month end numbers for cost center 100; report to President and CEO
- Office Manager
o oversee the functionality and efficiency of the office
o attend scheduled building meetings
o assist department heads with paperwork associated with new hires
o be the point person for any questions and problems associated with running the office
o assist with office furniture, painting, carpeting projects
- Ensure all actions performed are in compliance with government regulations and organizational policies and procedures.
SKILLS/KNOWLEDGE AND ABILITIES/EXPERIENCE
- Possess solid verbal and written communication skills, as well as exceptional interpersonal skills to interact successfully with people
- Possess solid proficiency in Word, Excel, PowerPoint, Directors Desk, Publisher, Visio, Outlook, and internet
- Assist CTIC officers and staff in producing business letters, agreements, various documents, and presentations
- Possess a level of sophistication and professionalism to handle inquiries and problems
- Possess high energy level, motivation, positive mental attitude, cheerfulness, and poise to interface with clients calling or coming into the office
- Convey a confident and knowledgeable presence to clients
- Be detail oriented and focus on accuracy
- Possess the ability to multi-task and stay organized
- High School diploma or equivalent required as a minimum
- College or associates degree or equivalent certification through specialized vocational/technical training programs preferred
- Previous experience which required direct interface with clients both in person and on the telephone in a business environment preferred
- Computer, copier, calculator, fax, and switchboard skills necessary
WORKING CONDITIONS
- Normal office conditions
- Occasional travel
