POSITION: ADMINISTRATIVE ASSISTANT I TO DIRECTOR OF PUPIL PERSONNEL
SCHOOL/ PROGRAM: CENTRAL OFFICE

QUALIFICATIONS:
- Any combination equivalent to: high school diploma or G.E.D. Certificate as required by Kentucky law.
- Four years of secretarial experience preferred.
- Proven ability to effectively communicate with students, parents, and faculty.
KNOWLEDGE OF:
- Modern office practices, procedures, and equipment.
- Kentucky Student Information System (Infinite Campus).
- Applicable section of Kentucky Administrative Regulations and other applicable laws.
- Interpersonal skills using tact, patience and courtesy.
- Basic record-keeping techniques.
ABILITY TO:
- Perform secretarial and administrative assistance duties.
- Make arrangements for meetings and conferences.
- Meet schedules and timelines.
- Communicate and maintain effective relationships with students, parents, staff and the public including members of ethnic communities.
- Learn to apply and explain policies and procedures related to school and program activities.
- Work independently with little direction.
- Work confidentially and with discretion.
- Work efficiently with many interruptions.
- Prepare reports by gathering and organizing data from variety of sources.
- Communicate effectively both orally and in writing.
- Maintain a variety of files, records, and logs.
JOB GOAL:
- To promote student achievement through active support of the pupil personnel team. Provide support of district employees, parents, and students by coordination of the student information system (Infinite Campus).
PERFORMANCE RESPONSIBILITIES:
- Along with Director of Pupil Personnel, execute functions of Student Information System point of contact.
- Complete reports for all non-cognitive data including but not limited to: Safe School Report, Superintendent Annual Attendance Report, Growth Factor Report, monthly attendance reports, Impact Aid grant submission, and classroom size reports.
- Along with Director of Pupil Personnel, coordinate student calendar (committee).
- Along with Director of Pupil Personnel, train secretaries and clerks district wide on Student Information System.
- Assist with scheduling and written communication for administrative discipline and/or expulsion hearings.
- Assist Pupil Personnel Team including School Resource Officers, Security, Project Home Coordinator, At Risk Specialist, Homebound Teacher, and Court Liaison/Compliance Director.
- Perform a wide variety of specialized and responsible duties independently in support of functions delegated to an assigned administrator, interpret and apply rules and regulations as appropriate; perform duties and assist the administrator with administrative detail as appropriate.
- Coordinate communication between the administrator and district personnel, students, educational institutions, vendors, other outside organizations and the public; obtain and provide information, coordinate activities and resolve issues.
- Respond to parent concerns.
- Prepare Board Agenda items each month for Pupil Personnel.
- Collaborates to ensure the completion of audit and state reports.
- Coordinate with DPP on storage of relevant school and district printed reports related to state Pupil Personnel responsibility.
- Respond to requests for information from students, staff, and general public regarding district programs, policies, regulations, and procedures.
- Verify student enrollment, attendance, and proof of birthdate, as requested.
- Locate and process transcripts of student record in files, online, and on Micro-film.
- Maintain filing system for all students' cumulative folders until they are no longer of school age.
- Keep records of all non-resident's contracts, tuition students, transfer applications, home schooling letters, and notice of transfer forms that are sent out to Kentucky schools.
- Type a wide variety of materials such as correspondence, reports, contracts, forms, applications, memos, grants and other documents.
- Perform related duties as assigned by administrator, or Superintendent.
RESPONSIBLE TO: Director of Pupil Personnel
CONTRACT: 235 Days
SALARY: $180.63 - $308.79/daily; depending on qualifications and experience
