Position Summary
FCC Canada is looking for an Administrative Assistant who will be responsible for providing clerical, office administration, filing support, and any ad hoc support to the FCC Canada Corporate Office.
Main Responsibilities
- Perform varied administrative duties and clerical functions.
- Work collaboratively with other staff as a team and provide back-up support as required.
- Assist with projects as assigned, ensuring efficient time management and prioritization of responsibilities.
- Prepare, draft, and review documents, correspondence, and reports with a high level of accuracy and attention to detail.
- Prepare reports, including gathering and summarizing data.
- Organize and expedite the flow of work through initiating follow-up action.
- Manage and organize files, ensuring all documents are up-to-date, accurately filed, and easily accessible.
- Maintain a document management system.
- Assist in maintaining and updating corporate minute books and preparing/reviewing resolutions, annual returns, and other corporate filings.
- Ensure compliance with corporate practices.
- Communicate complex information in a clear and respectful manner, ensuring all parties involved fully understand the material.
- Utilize knowledge of Microsoft Office (Word, Excel, PowerPoint) and Outlook.
- Conduct background research, investigations, and retrieve information on various issues using a variety of information systems.
- Coordinate and maintain a complex record/retrieval system, ensuring compliance with corporate information systems, policies and practices.
- Proactively identify opportunities to streamline processes and improve efficiency.
- Liaise with external parties in a professional manner, always maintaining confidentiality and discretion.
- Handle other administrative tasks as needed to support the company.
Key Qualifications
- Must be enrolled in a post-secondary co-operative education program in Business Administration, Arts, or related discipline.
- Strong interest in construction and contracts in Canadian jurisdictions.
- Experience with a variety of software packages including Microsoft 365, Word, Excel, PowerPoint, Outlook, SharePoint and virtual meeting technologies.
- Willingness to learn and ability to develop and implement administrative work procedures and systems.
- Ability to research and gather information.
- Ability to exercise independent judgement and discretion in dealing with highly confidential operational matters and with management staff.
- Ability to work independently and effectively with minimal supervision.
- Highly developed customer service and interpersonal skills, and proven ability to communicate effectively, both orally and in writing, at all organizational levels, including external contact.
- Excellent organizational and time management skills, including attention to detail, ability to set priorities, meet deadlines and deal with conflicting priorities and work demands.
- Strong analytical and problem-solving skills with proven ability to handle sensitive issues.
- Demonstrates a commitment to lifelong learning.
Salary Range:
$25 CAD hourly
