Role Description

This is a fixed term contract, on-site Administrative Assistant role located in Ottawa, ON. The Administrative Assistant will handle a variety of day-to-day tasks including managing schedules, onboarding new clients, handling client correspondence, managing and updating “Know Your Client” documentation to meet regulatory standards, performing clerical duties, and providing executive-level administrative support. This role requires strong organizational skills, professional communication abilities, and proficiency in administrative tasks to support the seamless functioning of the team and office operations.

Qualifications

  • Proficiency in Administrative Assistance and Clerical Skills to manage schedules, organize documents, and maintain office operations efficiently.
  • Strong skills in Phone Etiquette and Communication to manage client interactions, emails, and other correspondence professionally.
  • Experience with Executive Administrative Assistance, including supporting senior leadership and managing confidential information effectively.
  • Ability to multitask, prioritize, and work independently in a fast-paced environment.
  • Familiarity with office software and administrative tools such as word processing, spreadsheets, and scheduling software.
  • Relevant experience in an administrative or executive assistant role is a strong asset.
  • Diplomatic and professional demeanor, with excellent organizational and time-management skills.
  • High school diploma required; post-secondary education or equivalent experience in business, finance, adminstration is considered an asset.
