Position Summary

The Medical Front Desk Receptionist & Translator is responsible for providing excellent customer service to patients while ensuring the smooth operation of the front office. This role includes patient check-in and check-out, appointment scheduling, insurance verification, payment processing, and administrative support. The position also requires providing translation services to assist non-English speaking patients in communicating effectively with medical staff and understanding their care.

Key Responsibilities: Front Desk Receptionist Duties - Patient Check-In and Check-Out

  • Greet patients in a professional and friendly manner.
  • Verify and update patient demographic information.
  • Check patients into the electronic medical record system.
  • Ensure required documents and consent forms are completed.
  • Process patient check-out after appointments.

Appointment Scheduling

  • Schedule, reschedule, and confirm patient appointments.
  • Coordinate appointments with providers and clinical staff.
  • Manage provider schedules and ensure appointment accuracy.
  • Send appointment reminders to patients.

Phone and Communication Management

  • Answer incoming calls promptly and professionally.
  • Respond to patient inquiries regarding appointments, procedures, or office policies.
  • Direct calls to the appropriate department or staff member.
  • Return patient messages and follow up when needed.

Insurance Verification

  • Verify patient insurance eligibility and coverage.
  • Update insurance information in the system.
  • Identify and document insurance alerts or special instructions.
  • Inform patients of any coverage issues prior to appointments.

Payment Processing

  • Collect co-pays, deductibles, and outstanding balances.
  • Process payments using approved payment systems.
  • Issue receipts and maintain accurate payment records.
  • Reconcile daily payments and notify the Front Desk Manager at the end of the day.

Patient Records Management

  • Maintain accurate and confidential patient records.
  • Scan, file, and upload documents into the electronic medical record system.
  • Ensure compliance with privacy and confidentiality policies.

Administrative Support

  • Assist with filing, faxing, photocopying, and document organization.
  • Prepare patient paperwork and intake forms.
  • Maintain office supplies for the front desk area.

Patient Assistance

  • Assist patients with completing forms and paperwork.
  • Provide directions within the clinic and answer general questions.
  • Address patient concerns and ensure a positive patient experience.

Office Maintenance

  • Ensure the reception area and waiting room are clean, organized, and welcoming.
  • Maintain front desk organization and efficiency.
  • Report maintenance issues or safety concerns.

Additional Requirements

  • Must be reliable, professional, and patient-focused
  • Must be willing and able to commute between our four office locations as needed

Pay: $15.00 - $19.00 per hour
