The Neurosurgery department has developed a world-class clinical program to manage all aspects of neurosurgical oncology, including complex brain and skull base tumors, spinal tumors, and intractable, cancer-related pain disorders.
The primary purpose of the Administrative Assistant position is to provide superior secretarial skills of a highly confidential nature for designated personnel within the Department of Neurosurgery.
The Administrative Assistant position is responsible for a wide range of administrative and clerical duties. This role provides daily support to Advanced Practice Nurses (APNs), faculty, and the department while maintaining selected departmental files and providing general administrative support. This position must communicate clearly and professionally, both in writing and verbally, in person and over the phone. This role accurately types and processes check requests, travel requests, print shop requests, order forms, and requisitions so they are ready for authorized signatures. This position maintains logs and uses a follow-up tracking system to ensure accurate and up-to-date project status, as well as communicates completion status or delays to the requestor and supervisor when asked.
The ideal candidate will have hands-on experience with Concur, calendar management, Kronos, and reimbursement processes; demonstrate strong event planning and coordination skills, including managing large-scale virtual meetings, Zoom sessions, and seminars; and consistently exhibit the ability to multitask effectively in a fast-paced environment while maintaining accuracy and organization.
This role requires candidates to work onsite daily for the first three months to support training, onboarding, and seamless integration with the team. After the initial period, the position transitions to a hybrid schedule with two onsite days per week, though additional onsite presence may be required based on business needs. Candidates should also be prepared for occasional weekend work depending on project timelines or workload.

This position will be responsible for composing formal and informal correspondence, performing basic word processing, completing institutional forms according to established standards and policies, and compiling reports. The role also creates slides and overheads for presentations, as well as maintaining APN curriculum vitae (CVs) in the required institutional format (FIS) on the network. The position prepares purchase requisitions for items requested by assigned faculty, following the institution's purchasing guidelines. This position serves as backup support for meetings, including departmental conference room scheduling and related activities.
This position requires exercising independent judgment, discretion, and initiative. A basic knowledge of medical terminology and administrative procedures is required.
Key Functions
Administrative Assistant

  • Provides general administrative support such as scheduling meetings, making travel arrangements for APNs, screening visitors/calls, taking messages, filing, maintaining inventory of office supplies, picking up and distributing mail, reproducing documents and other duties as assigned.
  • Maintains accurate call schedule on inside MDACC website.
  • Maintains accurate calendar for neurosurgery conference room.
  • Serves as purchasing agent for various projects.
  • Maintains inventory of office supplies on a regular basis.

Other duties as assigned.
EDUCATION

  • Required: High School Diploma or Equivalent
  • Preferred: Bachelor's Degree

Work Experience

  • Required: Four years Administrative/secretarial experience.
  • Required: No experience required with preferred degree.

Must pass pre-employment skills test as required and administered by Human Resources.
