Responsibilities
- Greet patients warmly and professionally, creating a positive first impression.
- Schedule appointments accurately using dental practice management software such as Dentrix or Eaglesoft.
- Verify insurance coverage and benefits, including Medicare and other third-party payers, ensuring accurate billing processes.
- Collect payments, process co-pays, and handle financial transactions with precision.
- Manage patient records efficiently by updating electronic health records (EHR) systems like Epic, Meditech, or eClinicalWorks while maintaining HIPAA compliance.
- Review documentation for completeness and accuracy, including treatment plans and care instructions.
- Answer multi-line phone systems with excellent phone etiquette; address patient inquiries promptly and professionally.
- Assist with insurance claims submission and follow-up using CPT coding, ICD-10/ICD-9 coding standards, and medical billing procedures.
- Maintain organized filing of medical records and dental charts; ensure confidentiality at all times.
- Support front desk operations by managing patient intake forms, appointment reminders, and clinic correspondence.
- Collaborate with the dental team to ensure smooth clinic flow and efficient office management.
- Perform clerical tasks such as data entry, typing reports, and managing office supplies to support daily operations.
Skills
- Extensive knowledge of dental terminology, medical coding (ICD-10/ICD-9), CPT coding, and insurance verification processes.
- Proficiency in EMR systems such as Dentrix, Eaglesoft, Dentrix Ascend, or similar platforms; experience with Epic, Meditech or Athenahealth is highly desirable.
- Strong understanding of HIPAA regulations and health information management standards to safeguard patient privacy.
- Excellent computer skills including Microsoft Office Suite (Word, Excel) and data entry with 10-key typing proficiency.
- Prior clinic or dental office experience with familiarity in medical billing and coding practices.
- Exceptional customer service skills with the ability to handle sensitive situations professionally.
- Bilingual abilities are a plus to serve diverse patient populations effectively.
- Strong organizational skills with attention to detail for documentation review and accurate record keeping.
- Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining professionalism.
