Responsibilities

  • Greet patients warmly and professionally, creating a positive first impression.
  • Schedule appointments accurately using dental practice management software such as Dentrix or Eaglesoft.
  • Verify insurance coverage and benefits, including Medicare and other third-party payers, ensuring accurate billing processes.
  • Collect payments, process co-pays, and handle financial transactions with precision.
  • Manage patient records efficiently by updating electronic health records (EHR) systems like Epic, Meditech, or eClinicalWorks while maintaining HIPAA compliance.
  • Review documentation for completeness and accuracy, including treatment plans and care instructions.
  • Answer multi-line phone systems with excellent phone etiquette; address patient inquiries promptly and professionally.
  • Assist with insurance claims submission and follow-up using CPT coding, ICD-10/ICD-9 coding standards, and medical billing procedures.
  • Maintain organized filing of medical records and dental charts; ensure confidentiality at all times.
  • Support front desk operations by managing patient intake forms, appointment reminders, and clinic correspondence.
  • Collaborate with the dental team to ensure smooth clinic flow and efficient office management.
  • Perform clerical tasks such as data entry, typing reports, and managing office supplies to support daily operations.

Skills

  • Extensive knowledge of dental terminology, medical coding (ICD-10/ICD-9), CPT coding, and insurance verification processes.
  • Proficiency in EMR systems such as Dentrix, Eaglesoft, Dentrix Ascend, or similar platforms; experience with Epic, Meditech or Athenahealth is highly desirable.
  • Strong understanding of HIPAA regulations and health information management standards to safeguard patient privacy.
  • Excellent computer skills including Microsoft Office Suite (Word, Excel) and data entry with 10-key typing proficiency.
  • Prior clinic or dental office experience with familiarity in medical billing and coding practices.
  • Exceptional customer service skills with the ability to handle sensitive situations professionally.
  • Bilingual abilities are a plus to serve diverse patient populations effectively.
  • Strong organizational skills with attention to detail for documentation review and accurate record keeping.
  • Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining professionalism.
