Atlanta-based defense contractor is seeking a full time Administrative Program Manager to oversee the planning, execution, and organization of all administrative and program support operations for NSF’s Office of Legislative and Public Affairs (OLPA). This position serves as the primary point of contact for the Administrative Support Call Order, managing a four-person team providing daily administrative operations, executive secretary support, and SAHPR program assistance.
Required Qualifications
- Degree in communications, public relations, marketing, data analytics, or a related field (preferred)
- Minimum 5 years of experience in administrative coordination, project management, or a combination thereof; able to work at a fast pace with tight deadlines
- Minimum 5 years of professional writing and editing experience, including at least 3 years’ experience drafting official memos, internal and external correspondence, and policies
- Minimum 5 years of experience entering information into databases/tracking systems and creating/formatting reports and presentations
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Familiarity with federal communication requirements including the Plain Writing Act of 2010 and Section 508 compliance
- Mastery of basic grammar, spelling, and punctuation skills
- Ability to communicate with a high degree of professionalism, diplomacy, and tact
- Ability to obtain and maintain a Public Trust clearance
Preferred Qualifications
- Prior experien.ce supporting a federal communications or public affairs office.
- Experience managing teams of 3–5 administrative professionals in a federal environment.
- Experience with ServiceNow, SharePoint, or comparable federal workflow/document management systems.
- Familiarity with NSF or science agency operations.
Specific Duties:
- Manage the day-to-day administrative affairs of OLPA, coordinating administrative tasks and overseeing designated administrative operations across all three Admin Call Order tasks
- Maintain OLPA leadership’s calendar using Microsoft Outlook, including scheduling daily appointments, deconflicting appointments, and managing congressional engagements, media deadlines, and Director-level meetings
- Supervise and conduct quality assurance reviews on all team deliverables, ensuring accuracy, completeness, and compliance with NSF standards before submission to the COR
- Accurately enter information into NSF databases and tracking systems; compile daily, weekly, and monthly metrics reports from social media, web, and other relevant data sources
- Draft email responses, general correspondence, meeting agendas, presentation materials, meeting requests, and meeting minutes on behalf of OLPA leadership
- Maintain stakeholder email and distribution lists, document templates, and shared drive organization with centralized taxonomy and version control
- Assist with processing requests for travel, training, and reimbursements in accordance with federal travel regulations
- Fully coordinate interviews, meetings, panels, and events, maintaining effective communication with OLPA staff and external stakeholders
- Provide expertise in measuring and assessing metrics to inform OLPA communications strategy
- Prepare and submit biweekly and monthly status reports to the COR, including expenditure/financial reports segregated by individual and task
- Serve as the cross-call-order coordination point, ensuring administrative support aligns with Digital, Events, Writer, Video, and Metrics team activities
