Purchasing Data Analyst
Role summary
A vertically integrated cannabinoid manufacturer and distributor is seeking a Purchasing Data Analyst to ensure data accuracy and execution across purchasing, inventory, and product systems. This role acts as a critical control point between departments, managing SKUs, purchase orders, and inventory data across systems like Acumatica, SkuVault, and Quickbooks. Responsibilities include SKU management, PO generation, data validation, inventory coordination, cross-functional support, compliance documentation, and KPI dashboard creation. The ideal candidate will have 2-5+ years of experience in purchasing, data analysis, or operations, with strong Excel/Google Sheets skills and ERP system experience, particularly Acumatica. This high-accountability, in-person role requires meticulous attention to detail and a process-driven mindset.

We prioritize operational control, data accuracy, compliance, and scalable systems to support continued growth.
The Purchasing Data Analyst owns data accuracy and execution across purchasing, inventory, and product systems. This role is a control point between Purchasing, Accounting, Marketing, and Warehouse, ensuring all SKUs, costs, purchase orders, and inventory data are structured correctly across Acumatica, SkuVault, Quickbooks and supporting systems.
This is a high-accountability role. Errors here impact financials, inventory, compliance, and operations.
Key Responsibilities
SKU & Data Management
● Create, configure, and maintain SKUs in Acumatica and SkuVault
● Ensure accuracy across attributes, UOMs, cost, pricing, and financial structure ● Maintain proper GL and Sub-Account mapping
Purchasing Execution
● Generate, review, and manage Purchase Orders
● Validate cost, quantities, warehouse assignment, and entity alignment ● Ensure all purchases are recorded in the correct system and entity
Data Integrity & Validation
● Validate and update pricing tiers, costs, and barcodes
● Maintain consistency across Acumatica, Planergy, SkuVault, and tracking tools ● Identify and resolve discrepancies (invoice, receiving, cost variances)
Inventory & Supply Coordination
● Order consumables and manage inventory levels to meet min/max requirements ● Coordinate with suppliers and internal teams to ensure availability of raw materials and packaging
● Track packaging and production-related inventory tied to China and domestic suppliers Cross-Functional Support
● Act as main point of contact for purchasing-related communication
● Support Marketing with product onboarding, artwork updates, and launch readiness ● Work with Accounting and Warehouse to ensure accurate receiving and financial alignment
Compliance & Documentation
● Collect and maintain COAs, licenses, and compliance documentation ● Ensure product and purchasing data meet regulatory requirements
● Understand and operate within cGMP standards
Reporting & Controls
● Build and maintain KPI dashboards and tracking tools
● Submit and manage open order reports
● Maintain departmental budget tracking and reporting
Operational Support
● Support purchasing of marketing materials and facility-related needs ● Assist in maintaining structured processes and improving workflows
Essential Duties and Expectations
● Strong communication skills across departments and leadership levels ● Ability to plan, prioritize, and execute with accuracy and speed
● Ensure all purchasing documentation is complete, accurate, and aligned with company standards
● Self-motivated and able to operate independently with minimal supervision ● Ability to manage multiple priorities under pressure without sacrificing accuracy ● Maintain a high level of organization and accountability
● Proactively identify issues and drive process improvements
● Perform additional duties as assigned by Purchasing leadership
Qualifications
- 2–5+ years in purchasing, data analysis, inventory, or operations
- Experience with ERP systems (Acumatica preferred)
- Strong Excel / Google Sheets skills (data tracking, validation, reporting)
- Experience in multi-entity or high-volume environments preferred
- High attention to detail and process-driven mindset
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
