Responsibilities include administering grant activities, tracking budgets, preparing invoices, communicating with stakeholders, and ensuring adherence to all grant terms. Experience with grant management, financial administration, and strong organizational and communication skills are essential. Preference is given to candidates with experience in Orange County grant programs.

Position Summary

Exclusive Hoops Foundation Inc. is seeking a highly organized, self-motivated, and detail-oriented Part-Time Grant Program Manager to oversee and manage all aspects of an active grant-funded program, with a strong preference for experience working with Orange County grant programs or other public/private grant-funded initiatives.

This role is responsible for the full management and administration of the organization’s current grant, including grant compliance, invoicing, program coordination, funder communication, meeting attendance, documentation, reporting, and internal follow-through to ensure all deliverables are completed accurately and on time.

The ideal candidate is a self-starter who can take ownership of the grant with minimal oversight, communicate professionally on behalf of the organization, and ensure all grant requirements are being met from start to finish.

Key Responsibilities

The Grant Program Manager will be responsible for, but not limited to, the following:

Grant Administration & Oversight

  • Manage the day-to-day administration of the organization’s active grant-funded program
  • Oversee all grant-related timelines, deadlines, deliverables, and reporting requirements
  • Ensure the organization remains in compliance with all grant terms, funding requirements, and program expectations
  • Maintain organized records of all grant-related documentation, contracts, communications, and deliverables

Program Coordination

  • Coordinate all grant-funded program activities and ensure implementation aligns with approved grant scope
  • Track program participation, outputs, milestones, and measurable outcomes
  • Work with internal staff, contractors, facilitators, and leadership to ensure successful program execution
  • Identify any program gaps, compliance concerns, or operational issues and proactively recommend solutions

Invoicing, Budget Tracking & Financial Documentation

  • Prepare and submit grant invoices and reimbursement requests accurately and on time
  • Track expenditures and ensure spending aligns with approved grant budget categories
  • Collect and organize receipts, supporting documentation, attendance records, and any required backup materials
  • Assist leadership with grant budget monitoring and financial reporting

Meetings & Funder Communication

  • Serve as a point of contact for grant-related communication with funders, partners, and stakeholders
  • Attend grant-related meetings on behalf of the organization, including funder check-ins, program meetings, and compliance meetings
  • Represent the organization professionally in communication with Orange County and/or other grant agencies
  • Provide leadership with timely updates regarding grant status, deadlines, and required actions

Reporting & Compliance

  • Prepare and/or coordinate submission of required grant reports, narratives, outcomes, and supporting documentation
  • Ensure all reporting is accurate, complete, and submitted by required deadlines
  • Track required data and performance metrics for grant compliance and impact reporting
  • Assist in preparing for audits, reviews, or site visits related to the grant

Operational Support

  • Build and maintain systems, trackers, calendars, and workflows for grant management
  • Support leadership with process improvement and grant-related administrative organization
  • Help position the organization for continued grant success and future funding opportunities

QualificationsRequired

  • Experience managing grants, grant-funded programs, or contracts from start to finish
  • Strong administrative, organizational, and project management skills
  • Experience with grant invoicing, compliance tracking, reporting, and documentation
  • Ability to work independently and manage multiple moving parts with minimal supervision
  • Excellent written and verbal communication skills
  • Professional ability to represent the organization in meetings and external communication
  • Strong attention to detail and ability to meet deadlines consistently
  • Proficiency in Microsoft Office, Google Workspace, spreadsheets, and digital file management systems

Preferred

  • Prior experience managing Orange County grants or other county, city, state, or nonprofit-funded programs
  • Experience with nonprofit organizations, youth programs, education, sports-based programming, or community development initiatives
  • Familiarity with reimbursement-based grant structures and public funding compliance requirements
  • Experience with outcome tracking, attendance reporting, and program data management

Compensation

Compensation: Competitive and based on experience
