Role summary

The Administrative Specialist will provide comprehensive administrative and operational support in an in-office role located in Addison, TX. Responsibilities include maintaining records, assisting with HR functions like onboarding and compliance tracking, managing data entry and spreadsheets, and communicating professionally with internal and external stakeholders. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Location: Addison, TX (in office - not remote)
Position: Full-Time
Pay: $20.00–$21.00 per hour ($41,600 - $43,680)
Schedule: Monday–Friday 8:00am - 5:00pm

Responsibilities

The Administrative Specialist will assist with a variety of administrative and operational functions, including:

  • Maintaining records, documents, both paper and electronic files
  • Assisting with new-hire onboarding and employee paperwork
  • Tracking licenses, certifications, expirations, training requirements, and other compliance documentation
  • Entering and updating employee information in company systems
  • Assisting with recruiting and applicant follow-up as needed
  • Preparing, reviewing, and organizing spreadsheets, reports, and company documents
  • Communicating professionally with employees, applicants, clients, and vendors by phone and email
  • Assisting managers and directors with administrative projects and follow-up
  • Monitoring outstanding paperwork and following up to ensure required information is received
  • Maintaining accurate records and ensuring documents are properly filed and organized
  • Assisting with scheduling, data entry, reporting, and general office administration
  • Helping identify incomplete or inaccurate information and proactively working to resolve issues
  • Providing additional administrative support to various departments as business needs require

Qualifications

We are looking for someone who is professional, dependable, and comfortable working in a fast-paced environment.

Preferred qualifications include:

  • 2+ years of administrative, office, HR support, or similar professional experience
  • Strong computer skills, good knowledge of Google Workspace and Adobe PDF
  • Strong proficiency with spreadsheets and electronic document management
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple assignments and deadlines simultaneously
  • Ability to work independently and follow projects through to completion
  • Comfortable learning and working within multiple software platforms
  • Ability to handle confidential employee and company information appropriately
  • Professional demeanor when communicating with employees, applicants, clients, and management

Experience with HRIS systems, employee onboarding, recruiting, licensing/compliance tracking, is a plus but is not required.

This is not simply a data-entry position. We are looking for someone who can take ownership of their responsibilities, recognize when something needs attention, follow up without being repeatedly reminded, and help keep administrative processes moving forward.

The ideal candidate is someone who enjoys organization, communicates well, catches details others may miss, and is willing to assist wherever needed.

Compensation

$21.00–$22.00 per hour ($41,600 - $43,680 yearly), depending on experience and qualifications.

This is a full-time, in-office position at our Addison, Texas corporate headquarters.

Paid Time Off

  • Year 1: Up to 56 hours (7 days)
  • Year 2: Up to 80 hours (10 days)
  • Year 5+: Up to 120 hours (15 days)

  • 8 paid company holidays off
