Role summary

Friends of Hawthorne (FOH) is seeking a part-time Program Manager for its After School Enrichment (ASE) program. This contract role, based in Seattle, WA, involves coordinating and leading a volunteer-run initiative offering diverse after-school classes. Responsibilities include planning class offerings, managing instructor recruitment and support, overseeing registration and communication processes, handling on-site operations, and managing budgets and program evaluation. After School Enrichment (ASE) Program Manager

Part-Time Contract Role | Start: May/June 2026 | Seeking Minimum 2 year commitment

Schedule: ~10 hrs/week during sessions, ~5 hrs/week off-session (aligned with Seattle Public Schools calendar)

About the Role

Friends of Hawthorne (FOH) seeks a Program Manager to coordinate and lead the After School Enrichment (ASE) program — a volunteer-run initiative offering a wide range of after-school classes each fall, winter, and spring.

You’ll manage class planning, registration, communication, and daily operations to ensure equitable, engaging, and smooth-running enrichment experiences for students.

Key Responsibilities

Program Coordination

  • Plan 15–20 class offerings per session with the ASE committee
  • Recruit and support instructors (vendors, teachers, parents, community members)
  • Set schedules, pricing, and room use; prepare registration materials
  • Manage 6Crickets registration platform and assist vendors
  • Coordinate with Principal and ASE staff on logistics

Registration & Communications

  • Run the registration and lottery process; manage rosters and parent communications
  • Coordinate scholarships, discounts, and follow-up registration
  • Develop and distribute session communications via newsletters, school channels, flyers, and the FOH website

On-Site & Volunteer Support

  • Be present during program hours for check-in/out and problem solving
  • Support instructors, handle daily issues, and assist school staff
  • Recruit, organize, and recognize ASE volunteers

Budget & Evaluation

  • Prepare and track budgets with the FOH treasurer
  • Manage payments, reimbursements, and forecast enrollment
  • Lead post-session surveys, debriefs, and program improvements

What We’re Looking For

  • Highly organized and detail-oriented multitasker
  • Excellent communicator who collaborates well with families, staff, and community members
  • Comfortable with spreadsheets, online tools, and learning new systems
  • Flexible, calm, and solutions-focused
  • Experience managing programs or logistics preferred

Required: Must pass a national background check with fingerprinting.
