
Receptionist
Overview
We are seeking a dynamic and personable Receptionist to join our team! The Receptionist is responsible for providing comprehensive administrative assistance to ensure smooth office operations. Responsibilities include welcoming visitors, managing mail, monitoring emails, maintaining filing systems, and overseeing office supplies and inventory. This role involves scheduling meetings and facilitating communication with admin team and executives. Additionally, this position involves continuously enhancing computer and system proficiency to adapt to changes and growth, while prioritizing employee and workplace privacy in line with HIPPA regulations. This role extends to administrative support, including sending progress notes, maintaining records, managing databases, and providing assistance to the administrative team. This role will possess strong communication skills, proficiency in relevant software, and a commitment to accuracy and professional confidentiality.
Core Responsibilities
- Greet and direct office visitors.
- Answer phone calls and take messages when necessary.
- Maintain reception area.
- Receive and distribute incoming mail and packages and manage outgoing mail.
- Monitor and respond to emails throughout the day.
- Complete any scanning and filing that needs to be done.
- Manage the monthly staff calendar.
- Manage office inventory, including placing Amazon orders as needed or requested.
- Manage office expenditures within budget.
- Manage and maintain office snacks, beverages and kitchen supplies.
- Send a welcome card to all new employees.
- Schedule and chair quarterly safety meetings and maintain meeting minutes.
- Attend staff meetings regularly.
- Maintain monthly receipt file for business related purposes.
- Continuously develop and acquire new computer/system skills to adapt to evolving demands within the office environment.
- Maintain employee and workplace privacy and adhere to HIPPA requirements.
- Send out monthly progress notes to appropriate agencies and brokerages.
- Medication Administration Records (MARs) support: Receive monthly MARs from providers and process all documents as required.
- Support admin team as needed.
Requirements
- Proven experience in an office environment or as a receptionist with strong clerical skills.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong organizational skills with the ability to multitask effectively in busy settings.
- Exceptional phone etiquette.
- Demonstrated ability to handle confidential information discreetly and professionally.
- Good time management skills.
- Outstanding communication and interpersonal skills, demonstrating warmth and caring.
- A valid driver’s license and proof of ongoing auto insurance coverage are required for this position.
Schedule
Monday - Friday
8:30am - 5:00pm
Pay: $20.00 - $22.00 per hour
