Role summary

The Operations Coordinator is responsible for supporting daily administrative, HR, IT, and office operations. Key duties include coordinating recruiting and onboarding processes, managing office supplies and inventory, and assisting with IT and employee experience initiatives. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office and experience with applicant tracking systems like Greenhouse are essential. This is an office-based role requiring a commute to Armonk, NY, five days a week.

The Operations Coordinator plays a key role in supporting daily administrative, HR, IT, and office operations. This position is responsible for coordinating recruiting activities, onboarding new hires, maintaining compliance tracking, managing office supplies, and supporting IT and employee experience initiatives. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Recruiting & Talent Coordination

  • Manage applicant tracking and candidate workflows in Greenhouse
  • Review resumes across all roles and support hiring managers with candidate screening
  • Conduct initial phone screenings for open positions
  • Serve as the primary liaison for all external recruiting agencies
  • Onboarding & Employee Experience

  • Coordinate onboarding processes for new hires, including preparation of welcome materials (e.g., new hire backpacks)
  • Partner with IT to ensure timely setup of laptops and system access
  • Track onboarding progress and ensure completion of required new hire training
  • HR Administration & Compliance

  • Track employee PTO and maintain accurate records
  • Monitor and ensure completion of administrative compliance tasks, including:
  • Open enrollment participation
  • Required training completion
  • Onboarding documentation
  • Office & Inventory Management

  • Manage and reorder office, kitchen, and cleaning supplies through platforms such as Amazon Business and Instacart
  • Maintain inventory levels of food, beverages, and general office supplies
  • Coordinate reordering of marketing swag, including apparel and branded materials
  • IT & Office Support

  • Serve as a point of contact for basic hardware and software troubleshooting in coordination with the IT team
  • Assist with employee technology needs and escalate issues as necessary
  • Office Coordination & Events

  • Coordinate food orders and logistics for in-office meals, including breakfasts and lunches
  • Support internal meetings and office events as needed
  • Qualifications

  • 2+ years of experience in operations, HR coordination, or administrative support
  • Experience with applicant tracking systems (Greenhouse preferred)
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proficiency in Microsoft Office and common workplace tools
  • Experience working with vendors and external partners
  • Preferred Qualifications

  • Experience in a construction environment preferred
  • Familiarity with HR compliance processes and onboarding workflows
  • Basic IT troubleshooting experience
  • Work Environment

  • Office-based role. Must be able to commute to Armonk, NY 5 days a week.
