Summary:
This position serves as the central coordination point for managing the complete lifecycle of business guests within a dynamic corporate environment. The role requires a detail-oriented professional who can seamlessly manage multiple stakeholders, maintain accurate records, and ensure smooth onboarding and offboarding processes. Acting as the primary liaison between business guests, managers, stakeholders, and internal partners, this coordinator will be responsible for maintaining organized systems, responding to inquiries promptly, and supporting various administrative functions that keep operations running efficiently. The position demands strong organizational abilities, excellent communication skills, and the capacity to handle fluctuating workloads while maintaining accuracy and confidentiality throughout all processes.
Job Responsibilities:
- Serve as the main point of contact for all business guest inquiries and support needs
- Manage end-to-end onboarding and offboarding processes for business guests
- Coordinate equipment ordering and distribution for incoming business guests
- Track and manage incoming requests through completion, maintaining detailed logs and status updates
- Update systems and trackers to reflect current business guest status and credentials
- Respond to email correspondence and routing inquiries in a timely and professional manner
- Maintain organized records management systems and documentation
- Coordinate credential management and system access throughout the business guest lifecycle
- Support fiscal period activities including extensions and credential updates
- Handle ad-hoc support requests as they arise
- Prepare reports, memos, and other documents as needed
- Perform general office duties including ordering supplies and basic bookkeeping tasks
Requirements:
- Minimum 2 years of program or administrative coordination experience, including scheduling, task tracking, follow-ups, and logistics coordination
- Minimum 2 years of experience using coordination tools such as Excel trackers, Outlook, Teams, calendaring, SharePoint, or similar platforms for process tracking and communication
- Minimum 2 years of experience with process and operations support, including documentation, status reporting, and maintaining logs or trackers
- Strong verbal and written communication abilities
- Excellent multi-tasking and time management capabilities
- Customer service orientation and interpersonal effectiveness
- Ability to work independently with minimal supervision
- Strong organizational skills with attention to detail
- Ability to maintain confidential information appropriately
- Problem-solving and critical thinking abilities
- Proficiency with coordination and tracking tools
- Adaptability to handle fluctuating workloads
Additional Details:
- Location: Remote
- Duration: 3 months
- Pay Range\*: $17 - $19.50 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
