We are seeking a mature, highly professional, and business-savvy Executive Assistant to partner closely with the President of the Consumer Division. This role requires strategic coordination, structured follow-through, and executive-level stakeholder management, going beyond traditional administrative support. The incumbent will act as a trusted gatekeeper, ensuring optimal time management, disciplined execution of priorities, and seamless communication across the division. Key responsibilities include executive office management, strategic coordination, communication and stakeholder management, governance, documentation, confidentiality, and travel logistics. A Bachelor's degree in Business Administration or Commerce, with a minimum of 5 years of experience supporting CXO/Business Head level executives, is required. Advanced MS Office skills are essential.

Executive Assistant to President Consumer Division

Location: CSEZ, Kakkanad, Kochi
Reporting To: President – Consumer Division

Role Overview

We are seeking a mature, highly professional, and business-savvy Executive Assistant to partner closely with the President – Consumer Division. This role goes beyond traditional administrative support and requires strategic coordination, structured follow-through, and executive-level stakeholder management.

The incumbent will act as a trusted gatekeeper and enabler, ensuring optimal time management, disciplined execution of priorities, and seamless communication across the division.

Key Responsibilities

1. Executive Office Management

  • Proactively manage and optimize the President’s calendar, ensuring effective prioritization of strategic initiatives.
  • Coordinate high-level internal and external meetings, including leadership reviews, board interactions, and partner engagements.
  • Prepare structured briefing notes, executive summaries, and high-impact presentations.
  • Anticipate requirements and ensure readiness for all business engagements.

2. Strategic Coordination & Follow-Through

  • Track key business initiatives, strategic projects, and cross-functional deliverables.
  • Ensure timely closure of action points through disciplined follow-ups.
  • Maintain dashboards and MIS reports for performance reviews and decision-making.
  • Support preparation of annual operating plans, budgets, and business review decks.

3. Communication & Stakeholder Management

  • Serve as the primary liaison between the President and internal/external stakeholders.
  • Draft and review professional correspondence, leadership communications, and presentations.
  • Facilitate smooth information flow across functions while maintaining executive confidentiality.

4. Governance, Documentation & Confidentiality

  • Maintain strict confidentiality of sensitive commercial and organizational information.
  • Organize leadership meetings; record minutes with structured action tracking.
  • Support compliance, audit documentation, and governance-related requirements.

5. Travel & Executive Logistics

  • Manage domestic and international travel, itineraries, visas (if applicable), and expense reporting.
  • Coordinate leadership events, reviews, and offsite meetings.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Commerce, or related discipline (MBA preferred).
  • Minimum 5+ years of experience supporting CXO/Business Head level executives.
  • Strong proficiency in MS Office (advanced Excel and PowerPoint skills essential).
  • Excellent spoken and written English communication skills.
  • Exposure to AI productivity tools, automation platforms, or basic graphic design tools will be an added advantage.
