Role summary

The Developmental Clinic Program Manager provides exemplary services and communication, including developmental assessments and family interviews, to ensure objectives are met for families, clinicians, consultants, guests, team members, and stakeholders. This role focuses on meeting the needs of clinic participants to ensure a productive, professional, and meaningful experience with the Developmental Clinic and STEP. Responsibilities include processing referrals, conducting interviews, scheduling appointments, managing clinic operations, performing developmental assessments, preparing reports, and maintaining office supplies, all while upholding confidentiality and fostering a positive work environment.

Job Summary:
The primary functions of the Developmental Clinic Program Manager are to provide exemplary services and communication, including some developmental assessment and family interviews, to ensure that families, clinicians, consultants, guests, team members, and stakeholders achieve their objectives related to clinic support. This position ensures the needs and requests of clinic participants are met, with the goal that each person has a productive, professional and meaningful experience with the Developmental Clinic and STEP.

Primary Responsibilities:

  • Process referrals, providing compassionate and responsive interactions with families and guests. This includes sending forms, getting intake information and other records relevant to the assessment.
  • Conduct telephone interviews, schedule and confirm family appointments and clinician participation, and perform bookkeeping and claims duties as assigned. Schedule appointments in a time-efficient manner that reflects the needs of families and other clinic participants.
  • Promptly answer phones, provide accurate information, and route calls appropriately. Reschedule appointments as needed. Open and distribute clinic mail, including routing emails as needed.
  • Answering phones includes some triage in discussing the clinic assessment and often directing them to other appropriate resources.
  • Facilitate information sharing among clinicians. Prepare, update, and distribute clinic reports and records. Manage all document and communication requests. Gather and organize data for claims processing; submit to third-party processor and follow up as needed.
  • File management, including updates, storage, and sharing, within confidentiality provisions. Complete filing, duplicating, faxing, shredding, and other projects and tasks as needed.
  • Assure that inventories of office and clinic supplies are sufficient to meet current and future needs. Prepare purchase orders and fund requests as needed.
  • Perform support functions to ensure the smooth operation of the Developmental Clinic.
  • Perform developmental assessments, if appropriate, on the children scheduled for clinic including: Vineland Scales of Adaptive Behavior -3 with parents over telemedicine, and basic developmental assessments on the younger children in clinic (DAYC-2). Score SRS or other parents questionnaires given in clinic.
  • With appropriate patients (more straightforward), perform telemedicine interviews with parents and observations of children to gather history and preliminary assessment before clinic.
  • Obtain required permissions/consents and communicate the assessment process and purpose to families. Prepare and communicate test results, professional evaluation, and treatment recommendations to the clinic team. Document results in shared final reports and clinic records.
  • Perform duties as assigned by the Developmental Clinic Director.
  • Interact professionally and supportively with guests and stakeholders within and outside of the clinic and office settings.
  • Maintain appropriate confidentiality.
  • Website maintenance (updates), including financial resources for parents
  • Direct parents to appropriate resources – financial, parent support and intervention.
  • Accept all other responsibilities as assigned.

Education, experience, and skills:

  • Bachelor’s degree in human services or comparable field.
  • Completion of required training regarding administering and scoring specific developmental assessments. At least two years of successful experience performing and completing assessment processes.
  • Four years of experience in human services, medical or clinical office, business administration, disability services, or comparable field.
  • Experience working with families of children with disabilities is preferred.
  • Strong customer service skills and the ability to make quick decisions. Ability to set families and potential clients at ease by phone or in person.
  • Demonstrated proficiency in administering and scoring various assessments. Ability to effectively communicate the purpose and process of assessments to families.
  • Computer proficiency including word processing, email, file sharing, video conferencing, and spreadsheet software. Attention to detail and accuracy. Working knowledge and use of social media and web sites.
  • Strong organizational skills with an emphasis on time management and the ability to plan, organize and implement various activities.
  • Ability to work both independently and as part of a team.
  • Proficiency in listening and communicating both verbally and in writing.

Physical Demands and Work Environment:

  • Continuously sitting, viewing a computer screen or other device, and performing repetitive keyboard motions.
  • Flexibility to accommodate revised scheduled hours or days off.
  • May require ascending, moving, reaching, and lowering oneself.

Pay: $20.00 - $30.00 per hour
