Position Summary
The Executive Office Administrator provides high-level administrative and operational support to the UCH Executive Leadership team. This position serves as a trusted team member, ensuring efficient coordination of executive activities, management of the contract management system, and seamless day-to-day operations of the UCH administrative office. Maintains calendars, routes phone calls, receives visitors, and arranges conference calls and meetings. Processes incoming mail and is responsible for confidential and time sensitive material.
Key Results Areas (KRAs)
- Executive team support: manage executive team calendars; coordinate meetings; take minutes; arrange travel; prepare and distribute correspondence on behalf of executive team; assist as needed with the accounts payable process.
- Administrative support: provide general office support for department leaders as requested.
- Contract management system support: provide administrative support for the organization’s contract management system; track contract submissions, approvals, renewals, and expirations; assist with routing contracts for review by the General Counsel and executive team; ensure document organization and compliance with internal processes.
- Supply / equipment management: order and manage office supplies for administration; coordinate vendor interactions related to administrative needs; assist Director of Facilities as needed.
- Commitment to confidentiality: maintain strict confidentiality regarding sensitive legal, financial, and personnel information.
- Other duties as assigned.

Requirements
Education & Experience:
- 5 years experience supporting executive-level leaders
- High school diploma or equivalent required; Associate or Bachelor’s degree preferred
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong interpersonal and communication skills
- Highly organized, detail-oriented, discreet, and capable of managing multiple priorities in a fast-paced healthcare environment.
Physical Demands & Environmental Conditions
- Indoor office environment: requires standing, sitting, keyboard use, and repetitive hand motion daily
