Role summary

Wagner Equipment Co. is seeking a Warranty Coordinator to support the Machine Sales organization. This role is responsible for the accurate and timely enrollment of machine and attachment warranty programs, acting as the subject matter expert for Caterpillar warranty products and systems. The coordinator will partner with sales, service, and rental teams, as well as external customers. Key responsibilities include managing warranty enrollments, providing training to sales personnel, coordinating rental fleet warranties, preparing documentation, resolving issues, and managing invoice payments. The ideal candidate is highly organized, detail-oriented, and proactive, with 4+ years of relevant experience and strong computer proficiency. Experience in the heavy equipment industry and with Caterpillar systems is preferred.

The Warranty Coordinator plays a critical role in supporting the Machine Sales organization by ensuring the accurate and timely enrollment of all machine and attachment warranty programs. This position serves as Wagner's subject matter expert for Caterpillar warranty products, enrollment requirements, and supporting systems, partnering closely with Sales Representatives, Sales Coordinators, Service teams, Rental Operations, and external customers. 

A successful Warranty Coordinator is highly organized, detail-oriented, and proactive. They take ownership of complex processes, build strong relationships across departments, and ensure every warranty is enrolled accurately and efficiently. They are trusted advisors to the sales team, problem solvers for customers, and champions of operational excellence.

Pay Rate: $56,784.00 - $68,540.33 Annually
Pay rate is dependent upon education & experience. 

Essential Responsibilities

  • Manage and administer warranty enrollment for new machines, used machines, attachments, and certified rebuild programs.
  • Ensure timely and accurate enrollment of all standard, extended, and customer-selected warranty coverage options.
  • Deliver training and support to machine sales personnel regarding warranty products, enrollment processes, and best practices.
  • Coordinate warranty enrollment for Wagner's rental fleet and ensure compliance with Caterpillar requirements. 
  • Prepare, distribute, and manage warranty documentation utilizing DocuSign and other electronic workflow tools.
  • Communicate directly with sales teams, managers, service personnel, Caterpillar representatives, and customers to resolve warranty-related questions and issues.
  • Manage warranty-related invoice payments and credits through CLAIMSi, Corcentric, and other approved systems.
  • Maintain accurate records and documentation while ensuring compliance with company and manufacturer requirements.
  • Identify opportunities to improve efficiency, accuracy, and customer satisfaction within warranty and sales administration processes.
  • Perform additional duties and special projects as assigned.

Education & Experience

Required

  • High School Diploma or GED.
  • 4+ years of administrative, sales support, warranty administration, or related business experience.
  • Strong computer proficiency and organizational skills.

Preferred

  • Experience within the heavy equipment, construction, agricultural, transportation, or dealership industry.
  • Familiarity with Caterpillar warranty programs, Quote Plus, CLAIMSi, DocuSign, or similar systems.
  • Associates or Bachelor’s degree or equivalent combination of education and experience.
