
Executive Assistant
Pay is commensurate with experience beginning at $24.00 per hour. Full time, non-exempt, benefits eligible. The Executive Assistant provides high-level administrative support to members of executive leadership, ensuring smooth day-to-day operations and strong coordination across teams. This role manages complex scheduling, supports key meetings and projects, and handles a mix of administrative, operational, and compliance-related work.
Responsibilities include but not limited to:
- Manage calendars, schedule meetings, and coordinate logistics while balancing competing priorities
- Prepare agendas, take notes, and track follow-up items for leadership and team meetings
- Support communication and coordination between leadership, staff, and external partners
- Assist with project coordination and represent leadership in meetings, as appropriate
- Coordinate provider credentialing and privileging processes, including gathering documentation, maintaining files, and communicating with external partners
- Track professional license expirations and support compliance-related reporting
- Monitor staff training requirements and maintain accurate records across systems (e.g., SmartCare, Relias, PowerDMS)
- Prepare, format, and maintain documents, reports, and organizational records
- Maintain internal systems, including organizational charts and staff access across platforms
- Participate in committees (e.g., Safety Committee) and support agency-wide initiatives as needed
Qualifications include but not limited to:
- Associate's degree required; Bachelor's degree preferred
- Minimum of three years of experience in an Executive Assistant or similar administrative role; experience in healthcare or behavioral health and/or board support preferred
- Strong proficiency in Microsoft Office Suite and ability to learn and navigate multiple systems (e.g., databases, training and credentialing platforms)
- Demonstrated ability to manage multiple priorities, maintain organization, and follow through on details
- Strong written and verbal communication skills
- Ability to handle sensitive information with a high level of professionalism and confidentiality
