Position Summary

The Accounts Payable Specialist is responsible for ensuring the accurate and timely processing of vendor invoices, payments, and related accounting transactions. This role plays an integral part in maintaining strong vendor relationships, supporting organizational compliance, and contributing to efficient financial operations across the Las Vegas Paiute Tribal Businesses. The ideal candidate will demonstrate a high degree of accuracy, confidentiality, and accountability in managing financial data and supporting the accounting team’s broader goals.

Key Responsibilities

  • Receive, review, verify vendor invoices, purchase orders, and receiving documentation for accuracy and appropriate authorization.
  • Process payments via check, ACH, and wire transfers while maintaining proper internal controls.
  • Ensure all payments are made within established terms to maintain vendor goodwill and optimize cash flow.
  • Reconcile vendor statements, resolve discrepancies, and maintain updated vendor account records.
  • Prepare month-end accruals and assist with closing activities.
  • Support internal and external audits by providing documentation and responding to inquiries.
  • Maintain organized and complete files of invoices, receipts, and related records in accordance with the Tribe’s record retention policies.
  • Ensure compliance with tribal financial policies, IRS regulations, and applicable accounting standards.
  • Monitor and report any irregularities, potential fraud, or compliance risks to leadership promptly.
  • Work closely with procurement, HR, and department managers to ensure timely approval and coding of expenses.
  • Support finance leadership with ad hoc reporting and special projects as assigned.
  • Uphold a positive, professional, and confidential working environment while handling sensitive financial information.

Qualifications

  • Associate’s degree in accounting, Finance, or Business bachelor’s degree preferred.
  • Minimum 3–5 years of progressive experience in accounts payable, bookkeeping, or general accounting.
  • Experience working within government, non-profit, or tribal organizations preferred.
  • Proficiency with accounting systems such as or similar platforms.
  • Intermediate proficiency in Microsoft Excel (pivot tables, v-lookups, data validation).
  • Strong understanding of GAAP and financial internal controls.
  • Exceptional attention to detail and accuracy in data entry and reconciliation.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Effective written and verbal communication skills with vendors and internal staff.
  • High level of integrity and discretion when handling confidential or sensitive information.

Work Environment:

Primarily outdoor work with exposure to extreme weather, dust, and rugged terrain. May involve extended shifts, mandatory overtime, and shift rotations including nights, weekends, and holidays. Subject to emergency call-outs at any time. Travel required for training, meetings, and other law enforcement functions.
