Job Summary
The Office Administrator supports the accounting department and overall office operations by managing financial and administrative tasks with precision. This role includes processing invoices, reconciling accounts, supporting payroll, and ensuring the office runs smoothly through a variety of administrative functions.
Key Responsibilities
- Greeting visitors at the front desk with a warm, professional, and welcoming attitude.
- Manage incoming phone calls, providing information and assistance with excellent phone etiquette.
- Perform data entry tasks with a high level of accuracy.
- Maintain organized filing systems and ensure documents are properly stored.
- Receive vendor invoices, verify details, and obtain appropriate approvals.
- Provide vendor support by addressing inquiries and resolving issues in a timely manner.
- Reconcile credit card accounts.
- Assist with payroll processing and related administrative tasks.
- Assist in organizing company events and coordinating logistics.
- Maintain office equipment and coordinate service when needed.
- Process incoming and outgoing mail.
- Assist with lunch meetings, including scheduling and setup.
- Support the accounting team with additional duties as needed.
Required Abilities & Qualifications
- Previous experience as an administrative assistant, accounting assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication and interpersonal skills.
- Excellent organizational and time management abilities.
- Detail-oriented with strong analytical and problem-solving skills.
- Ability to prioritize tasks and meet deadlines independently and collaboratively.
- Professional demeanor consistent with company image and standards.
- Demonstrates sound judgment when handling a variety of situations.
- Positive attitude, flexibility, and eagerness to learn.
