JOB SUMMARY
The Office Coordinator will support a wide spectrum of administrative duties for the office and remote team members. Key areas of responsibility will include handling the incoming phone calls, managing office supplies, and supporting the sales and marketing team in other areas where needed. The Office Coordinator will be responsible for effectively and efficiently helping team members and customers to ensure they are supported and receive timely and accurate information to support the business.
Principal Accountabilities
- Provide administrative support for the CEO, CFO, Technical Service Director and VP of Sales and Marketing as well as onsite and remote team members when needed.
- Answer phone calls, greet office visitors, and direct them appropriately.
- Assist with the quoting process to accurately complete customer quotes in a timely manner.
- Print shipping labels, mail packages of parts, sales, marketing, and miscellaneous items as needed in addition to receiving and distributing USPS, UPS, FedEx to appropriate parties.
- Execute quotes for the sales team.
- Data entry, filing and scanning as needed.
- Prioritize and manage multiple priorities simultaneously and follow through on issues in a timely manner.
- Serve as a back-up to the Sales Administrative Manager when needed.
- Identifies opportunities to assist where needed in support of office and remote team.
- Other duties as assigned.
Experience And Qualifications
- High school diploma required. Associate degree preferred but not required.
- 1+ years of office administrative experience.
- Strong administrative skills and computer skills in Microsoft Office Suite or related software.
- Strong customer-service orientation with a drive to respond timely and thoroughly to questions and concerns.
- Possesses an inquisitive mindset and a willingness to look for opportunities for continuous improvement.
- Ability to exercise good judgment and maintain confidentiality.
- Ability to collaborate well with team members and customers at all levels with a professional demeanor and team mindset.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Energetic self-starter with high level of motivation and initiative.
