Role summary

Andreessen Horowitz (a16z) is seeking a Contractor, Workplace Experience Coordinator in New York City. This role serves as the primary point of contact for employees, entrepreneurs, and guests, ensuring a first-class administrative and hospitality experience. Responsibilities include managing the front desk, assisting visitors, coordinating with IT and other teams, maintaining office spaces, supporting events, and managing inventory and mail. The ideal candidate has a high school diploma, 4+ years of experience in a fast-paced, high-profile environment, strong organizational and interpersonal skills, and a proactive, hospitable demeanor. Familiarity with Google Workspace and video conferencing systems is preferred. This is an onsite, 5-day-a-week role with a potential for domestic travel.

The Role

As a Workplace Experience Coordinator, you will serve as the main point of contact for employees, entrepreneurs, guests and visitors, and provide a ﬁrst class administrative experience for all. You will be the ﬁrst impression for a16z and, as such, must have a polished, professional presence. In addition you must possess excellent interpersonal skills, attention to detail, be an outstanding multitasker and have superb organizational skills.

The primary location for this role will be New York City, NY. This role requires an in-office presence 5 days a week in our New York City office. While the role is primarily based in New York, you may occasionally be asked to provide coverage in other offices such as Menlo Park, CA, San Francisco, CA, Los Angeles, CA, Washington, DC, or West Palm Beach, FL.

To join our team, you should be excited to:

Guest Reception and Hospitality: Help manage the front desk and provide exceptional service to guests, including greeting visitors, checking them in, offering beverages, and notifying a16z employees of their visitors' arrivals. Help prepare conference rooms for meetings, as needed

Proactive Assistance: Anticipate and offer assistance to guests and employees, such as helping with luggage, providing dining recommendations, and connecting with IT for any requests for supporting office equipment or technology needs

Communication: Promptly inform a16z employees when a visitor arrives using the preferred communication methods (Slack, GChat, Envoy). Relay guest details, including name, purpose of visit, and any additional information. Handle all communications with proper a16z etiquette

Collaboration: Partner with a16z IT team for badge requests and creation, collecting necessary information from employees, guests, and vendors

Calendar Management: View office calendars daily to proactively anticipate office needs, communicate requests for scheduling needs to the proper EA or partnering team

Security and Protocol Adherence: Understand and follow a16z's security protocols and guidelines, including visitor registration procedures and emergency protocols. Report any suspicious activity to the on-site security team

Workplace Maintenance: Maintain cleanliness in conference rooms and common areas, coordinating with onsite vendors as necessary

Technical Assistance: Collaborate with IT to relay and coordinate any troubleshooting requests, and flag meeting room and/or equipment issues

Onsite Events: Help deliver high-caliber support from a workplace perspective for onsite events. This includes booking on-site spaces, coordinating janitorial, and submitting vendor COIs to building management

Inventory Management: Provide back up support for kitchen replenishment and office supplies, coordinating with WX team as necessary

Mail Organization: Provide back up support for incoming and outgoing mail securely and confidentially. Coordinate with WX team for pick-up and delivery schedules

Minimum Qualiﬁcations

High school diploma or GED required, college degree in business administration preferred

4+ years of experience in workplace experience in a fast-paced, high proﬁle environment

Have phenomenal interpersonal and communication skills and be a total team player

Have an unparalleled “can-do” attitude

Strong organizational and multitasking abilities

Proactive and hospitable demeanor

Familiarity with office technology and equipment

Ability to handle confidential information with discretion

Knowledge of security protocols and emergency procedures

Experience with Google Workspace products: Gmail, Google drive, Google calendar and office management software is a plus

Understanding of video conferencing systems, such as Zoom, and their features preferred

Low ego, high empathy, and the capacity to collaborate effectively with diverse teams

This role may require domestic travel

The anticipated hourly rate for this role is $43.00 - $48.00, actual starting pay may vary based on a range of factors which can include experience, skills, and scope.
