 About the Role

The Coordinator, Document Controls (NBF) is responsible for setting up and providing engineering and technical document control for engineering studies and major capital projects for North Bullfrog. Specializing in technical documentation within engineering and related fields, this role ensures adherence to engineering guidelines and standards while supporting consistent workflow management, accessibility, and traceability of controlled documents throughout the project lifecycle in close coordination with the EPCM contractor and the Owner’s team.

As a key operational support specialist across Nevada Projects, the Coordinator collaborates closely with cross-functional project teams—including Process, Engineering, Mining, Procurement, Environmental, and Permitting—to standardize documentation, ensure seamless information handovers, and support long-term operational readiness.

Key Responsibilities

Document Control System Administration & Library Management
• Design, configure, and maintain project-specific electronic documentation libraries, data repositories, and metadata standards for future searchability, retrieval, and traceability.
• Receive, log, track, and distribute incoming and outgoing engineering documents, drawings, Bills of Materials (BOMs), product specifications, and design changes, ensuring version control.
• Ensure engineering documents are formatted and indexed to support "as-built" requirements, making them easily accessible and reusable for long-term operational use and project stage close-out handovers.

Workflow Management & EPCM Alignment
• Set up and manage review workflows for engineering drawings throughout their lifecycle, aligning directly with EPCM contractors and service providers.
• Monitor document workflows, track hold points, perform document quality audits, and identify/address non-conformances.
• Follow up with key internal stakeholders to source required technical information on time for progress reporting.

Information Services & Technical Support
• Provide comprehensive document control assistance to project teams across Nevada Projects.
• Deliver information lookup and retrieval services, executing search strategies to supply project participants with the right information at the right time.
• Provide document control training and onboarding for project team members.

Reporting, Governance & Continuous Improvement
• Generate regular reports on document status, outstanding actions, RFI/transmittal metrics, and workflow performance for project managers.
• Maintain document retention schedules in strict compliance with legal governance standards.
• Contribute to the continuous improvement and design of the overarching Document Management Plan across Nevada Projects.

Requirements

• Associate’s Degree in Business Administration, Information Management, or related field required (or an equivalent combination of education and 1+ years of direct experience in documentation coordination and records management).
• Relevant formal training in document management systems and records governance preferred.
• Prior experience working as a document controller within a Project Management Office (PMO) or major capital project team in the mining, natural resources, or heavy industrial sectors.
• Strong working knowledge of enterprise document control software and platforms (e.g., Aconex, SharePoint, Procore, Documentum, Viva Engage).
• Advanced proficiency in Microsoft Office 365 Suite and Adobe Acrobat (PDF creation, redacting, markup, and indexing).
• Practical understanding of engineering drawing office workflows, Bills of Materials (BOMs), Management of Change (MOC) processes, and technical drawing standards.
• Familiarity with document retention schedules, legal compliance, and metadata indexing frameworks.
• Excellent organizational, time-management, and multitasking capabilities with a high standard of accuracy and attention to detail.
• Excellent written, verbal, and interpersonal communication skills to liaise effectively with internal project teams, EPCM contractors, and vendors.
• Mindset for continuous process improvement and familiarity with internationally accepted project control principles.
• Valid driver's license required with the ability to operate company vehicles safely.
• Must be legally authorized to work in the United States.
