What You’ll Do

Your main focus is making sure the work our Service team does gets properly documented, claimed, and billed. You’ll:

  • Manage the warranty email inbox and track every claim through to completion, with status updates for management
  • Train and update technicians and service staff on warranty terms and coverage changes
  • Coordinate with Parts and Shipping on tagging, keeping, and returning warranty parts, and with Dispatch on scheduling Service Bulletins and recalls
  • Invoice completed repair orders accurately and on deadline, checking parts pricing and resolving billing issues
  • Work with Internal Accounting on credits, reconciliations, and disputed bills, and keep Service Tracker and Karmak records current

What We’re Looking For

  • High school diploma or GED required; associate degree in Business, Accounting, or a related field preferred
  • 1–3 years of experience in billing, invoicing, warranty administration, or accounts receivable; manufacturer warranty program experience preferred
  • Service department background preferred, especially in fire apparatus, emergency vehicles, fleet, heavy equipment, trucking, or automotive
  • Strong attention to detail and clear written communication, with the ability to manage multiple claims and deadlines at once
  • Proficiency in Microsoft Office (Outlook and Excel), and the ability to learn Service Tracker and Karmak or similar software
  • Comfort with regular trips into the service shop, occasionally lifting up to 25 lbs., and occasional driving with a valid driver’s license
