Our values:
We credit much of our success to our exceptional team. We’re looking for mission-driven builders who thrive in fast-paced, ambiguous environments, and embody our four core values:
Care first: We do whatever it takes for our students to succeed.
Learn quickly: We test, learn with data, and iterate.
Build together: We win when we rely on each other.
Own it: We show up, take initiative, and show pride.
The opportunity:
At Stepful College, an ABHES-accredited institution, our students are working towards launching new careers in healthcare, and our Financial Aid Assistant helps make that possible. In this role, you’ll be a friendly, steady guide for students from their first days of enrollment all the way through graduation.
The Financial Aid Assistant is often one of the first people a new student talks to. You’ll help them through the FAFSA, loan paperwork, and payment plans, explain things in plain language, and make sure they feel supported every step of the way. Our Financial Aid office is a small, close-knit team of two, so the work you do makes a real difference. You’ll get new students’ files across the finish line, answer payment questions with patience and care, and help students who’ve fallen behind find a path forward so they can stay enrolled. You’ll have structured onboarding and regular one-on-ones as you learn the ropes, plus support as you grow into handling day-to-day decisions on your own.
This is a full-time, hourly position based onsite at our Fenton, Missouri campus, Monday through Friday. This role reports to the Senior Financial Aid Administrator.
What you’ll do:
New Student Financial Aid
Partner closely with our Admissions team to ensure a smooth hand-off for newly enrolled students, so they feel welcomed and supported from day one
Welcome newly enrolled students by phone and email, and guide them through each step of the financial aid process
Help students complete the FAFSA and confirm it has been submitted and received
Review NSLDS to confirm students’ eligibility and prior aid history
Walk students through required documents in CampusIvy, including entrance counseling, the Master Promissory Note (MPN), and verification items
Track each new student’s file and follow up so it stays on schedule
Payment Plans & Collections
Set up payment plans and explain balances, estimates, and how payments are applied in clear, plain language
Send payment reminders and past-due notices on schedule, and respond to every payment-plan inquiry in writing
Work the past-due report: reach out to students who have fallen behind, set up payment arrangements, and follow through to resolution
Apply college policy to delinquent accounts, and escalate complex situations to the Senior Financial Aid Administrator with the details already gathered
Records, Compliance & Team Support
Document student interactions and account activity in our student information system (Anthology) and CampusIvy
Keep student files accurate, complete, and audit-ready, in line with Title IV, FERPA, and college requirements
Run and review basic financial aid and student account reports in Excel
Support the Financial Aid and Student Accounts teams during busy periods like new starts, disbursements, and graduation
What you’ll bring:
2–4 years of professional office experience
Strong customer service skills: you’re patient, clear, and empathetic, including when conversations are about money
A quick learner who’s comfortable picking up new systems and processes
Proficiency in Microsoft Excel (including pivot tables) and Word/Google Docs
Highly organized and detail-oriented, with strong follow-through
Discretion and good judgment when handling confidential student information
High school diploma or GED required
Availability to work onsite in Fenton, Missouri, Monday through Friday
Bonus points if:
You have experience in financial aid, student accounts, billing, or collections
You’re familiar with CampusIvy, Anthology/CampusNexus, or NSLDS
You’ve worked at a career college, a vocational school, or in healthcare education
