About the Role

We are looking for a proactive and detail-oriented procurement and project specialist with foundational supplier negotiation skills, strong project execution capabilities, and effective cross-functional communication skills. You will manage sales-order-driven GPU hardware procurement projects from requirements confirmation, supplier sourcing and negotiation through purchase order execution, delivery acceptance, and procurement closeout. This role emphasizes initiative, accountability, and a willingness to learn.

Key Responsibilities

  • Requirements and Project Planning: Partner with Sales and relevant teams to confirm hardware requirements, quantities, target delivery dates, and procurement budgets. Develop project plans and track milestones, dependencies, and open issues.
  • Supplier Sourcing and Negotiation:
Identify and maintain relationships with suppliers of GPU hardware and related IT equipment. Request and compare quotations, verify supplier credentials, and negotiate pricing, lead times, payment terms, warranties, and after-sales terms while evaluating costs and supply risks.
  • Purchase Order Execution: Coordinate internal approvals, contracts, and purchase orders. Follow up on supplier fulfillment, shipping, logistics, and arrival dates. Work with Finance on payments, invoices, and reconciliation to support procurement closeout and maintain
    accurate, transparent records.
  • Delivery Coordination and Issue Resolution: Coordinate with Technical, Logistics, and Operations teams on equipment acceptance and handover. Proactively address delivery delays, shortages, and specification discrepancies; propose practical alternatives and escalate risks promptly. Technical specifications and hardware substitutions must be confirmed by the Technical team.
  • Cross-Functional Communication and Process Improvement: Keep Sales and other stakeholders informed of procurement and delivery progress, and manage expectations. Maintain records of costs, lead times, and supplier fulfillment to support improvements in procurement and delivery workflows.

Qualifications

  • Relevant Industry Experience: At least two years of experience in IT hardware, servers, data centers, cloud infrastructure, or a related industry, with exposure to procurement, supply chain, order fulfillment, or project coordination.
  • Supplier Communication and Negotiation: Experience requesting and comparing quotations and negotiating commercial terms. Ability to evaluate pricing, delivery schedules, payment terms, and warranties and make practical recommendations. In addition to client facing work.
  • Project Management and Execution: Ability to develop and maintain project plans, manage multiple purchase orders, prioritize tasks, track milestones and ownership, coordinate across teams, and proactively address risks through project completion.
  • English and Chinese Proficiency: Ability to communicate effectively in both English and Chinese for supplier negotiations, business correspondence, meetings, and project updates.
  • Hardware Fundamentals and Learning Agility: Basic understanding of IT hardware concepts and a willingness to proactively learn about GPUs, servers, and related equipment.
  • Initiative, Diligence, and Accountability: A self-motivated approach to identifying issues, taking action, and following through. Strong attention to detail and results, with the judgment to seek support or escalate obstacles promptly without repeated reminders.
  • Adaptability and Collaboration: Ability to respond to changing orders, delivery schedules, and supply conditions. Clarify critical information, develop workable solutions, and communicate clearly across teams.
  • Data and Tools:
Proficiency in Microsoft Suite, especially Excel or similar tools to maintain quotation comparisons, purchase order records, and project trackers, ensuring accuracy and traceability.
  • Education:
Bachelor's degree in business or related field.

Preferred Qualifications (Not Required)

  • Experience procuring or coordinating delivery of GPUs, servers, or data center equipment.
  • Experience with cross-border procurement, international logistics, or supplier collaboration across time zones.
  • Experience using ERP systems, procurement platforms, or project management tools.
